Out of Policy Expenses Alerts

Business challenge

Employees are required to allocate their corporate credit card expenses within a defined time period.  A list of out of policy employees is manually prepared each month and sent to department heads who then send individual reminder emails, typically taking one day of administration time across all departments.

 

Solution

Xyenta was asked to automate this process using a Microsoft Power Platform because of its quick turnaround time.  The tool connects to the expenses recording system, extracts the out of policy employees and sends individual reminder emails that are logged into a Microsoft Teams channel for audit and reference purposes. An integrated Power BI report is used for trend and behaviour analysis.

Reporting configuration manager

Business challenge

In order to generate complex regulatory reporting outputs, business users need to combine transactional data with ad-hoc assumptions and reference data.

 

Solution

Microsoft Power Apps and Microsoft Power Automate allowed us to rapidly and iteratively develop a secure, web-based solution that allows users to manage and upload system validated datasets which are then integrated into regulatory run configurations for reporting outputs.  The application is distributed and secured via Microsoft Teams or the user’s preferred web browser.

How Power Automate works to solve this challenge

Microsoft Power Automate is a cloud-based application in Office 365. Together with Power BI and Power Apps, Power Automate belongs to the collection of tools that support the Microsoft Power Platform. Power Automate is a low code environment that enables

  • Robotic process automation (RPA)
  • Workflow automation

Common uses include triggering notifications, collecting data, approving transactions (payments, expenses, payroll, journals), automating emails.
